Intro

You can apply a DataSet’s Personalized Data Permissions (PDP) to an alert. The PDP policies filter the alert data and control which users can subscribe to that alert. You can make changes to alerts for policies you are a member of. Only other members of those policies can view and subscribe to those alerts.

Configure PDP for Alerts

Configuring PDP for alerts is part of the alert configuration process. To learn about this process, see Card Alerts. PDP options are available for a card only when one or more PDP policies have been applied to the DataSet powering that card. You can choose from the following options for configuring PDP for a Card Alert:
  • Contextual — This is the default setting. Anyone permitted to view the DataSet powering the card can view this alert. This option works best with percentage and statistical alerts.
  • All Rows — The alert is applied to all rows of the DataSet, meaning no filtering occurs.
  • Select Policies — You choose the specific policy or policies to which the alert is applied.

Example

Bob owns DataSet A. Bob’s marketing team is broken up by industry, and he is assigned to both Advertising and Business Services. Bob wants to set up an alert to notify him when opportunities drop by more than 10%. Bob wants to create an alert for a card powered by DataSet A, which has two PDP policies: the Advertising policy, and the Business Services policy. While creating the alert, he has the option to apply either of the policies to the alert, or to apply neither policy, meaning the data is unfiltered. He can also leave the default Contextual option selected, meaning the alert conditions are evaluated against both the Advertising and Business Services policies. The image below shows the default view of the alert options dialog with the Contextual option selected.

Bob chooses to apply the Advertising PDP policy to the alert. He does this by selecting Modify > Select Policies, then checking the box for the Advertising policy. He selects Apply to save the changes.

From here, Bob finishes creating his alert as described in Card Alerts. Because the Advertising PDP policy was chosen and not the Business Services policy, only members of the Advertising policy can see the alert, subscribe to it, and receive notifications for it. However, Bob can create a second alert for this card that applies only to the Business Services policy. Members of a PDP policy can also create alerts for cards powered by DataSets with that policy. Because the data in the card is already filtered due to the PDP policy, these users can only create alerts for the data available to them through the policy. Only users with the alert creator’s same PDP policies can see the alert, subscribe to it, and receive notifications for it.

Example

Tessa is a member of both the Advertising and Business Services policies. When she tries to create an alert, she doesn’t have the option for All Rows because her policies do not allow this. However, she can choose to build an alert for Advertising data, Business Services data, or both.
Note: Users with a Social default security role cannot be added to an alert created from a DataSet that has PDP enabled on it.

Modify PDP Settings for an Alert

Follow these steps to modify existing PDP settings for an alert:
  1. In the navigation header, select Alerts. Locate the alert for which you want to modify PDP settings.
  2. Select Edit.

  3. Select Modify.

  4. Choose one of the following:
    • If you want this alert to apply to all users with access to the DataSet, choose Contextual.
    • If you want this alert to apply to all data in the DataSet and not be limited by PDP policies, choose All Rows. This option is not available for users limited by PDP policies.
    • If you want to apply specific policies to the alert, choose Select Policies then select all policies you want to be applied to this alert.
  5. Select Apply.
  6. Make any other changes to the alert.
  7. Select Save.
